Refunds and Cancellations

1. Overview

At Aayurdhaa Hospitals, we strive to provide a transparent and patient-friendly experience in all aspects of our services — including appointments, procedures, and payments. This policy outlines our guidelines for appointment cancellations, rescheduling, and refunds.


2. Appointment Cancellations

By the Patient:

  • Appointments may be cancelled at least 2 hours before the scheduled time without any cancellation charge

  • Cancellations made less than 2 hours before the appointment may be subject to a nominal cancellation fee

  • No-shows (failure to attend without prior notice) will not be eligible for a refund of any advance consultation fee paid

By the Hospital:

  • In the event that Aayurdhaa Hospitals cancels or reschedules an appointment due to unavoidable circumstances (doctor unavailability, emergencies, technical issues), patients will be:Notified at the earliest possible time
    Offered a full refund of any advance payment made, OR
    Offered a rescheduled appointment at no additional charge


3. Rescheduling

  • Patients may reschedule their appointment once without any additional charge, provided the request is made at least 2 hours in advance

  • Rescheduling requests made after this window are subject to availability and may incur a nominal administrative fee

  • To reschedule, please contact our reception or call us directly at the number provided below


4. Refund Policy

Consultation Fees:

  • Consultation fees are non-refundable once the consultation has been completed

  • If a consultation is cancelled by the patient within the eligible window (see Section 2), a full refund will be processed

Diagnostic & Laboratory Services:

  • Fees paid for tests or investigations that have already been conducted are non-refundable

  • If a test is cancelled before the sample is collected or procedure is initiated, a full refund will be processed

  • Partial refunds may be considered if only a portion of a diagnostic package has been utilised

Surgical & Procedure Deposits:

  • Advance deposits paid for surgeries or procedures are partially refundable

  • Cancellations made more than 48 hours before the scheduled procedure: full refund of the deposit

  • Cancellations made within 48 hours of the scheduled procedure: up to (but not limited to) 50% of the deposit may be retained as a cancellation charge to cover preparation costs

  • In cases of medical emergencies preventing the patient from proceeding, refunds will be considered on a case-by-case basis with appropriate documentation

Pharmacy Purchases:

  • Medicines purchased from our indoor pharmacy are non-returnable and non-refundable once dispensed, in accordance with standard pharmacy regulations

  • Exceptions apply in the case of dispensing errors or quality issues, which will be resolved immediately


5. Refund Process

  • All approved refunds will be processed within 7 to 10 working days

  • Refunds will be credited to the original payment method used at the time of payment

  • Cash payments will be refunded in cash at the hospital billing counter during working hours

  • Online or card payments will be reversed to the original account or card

  • Patients must present their original receipt or payment confirmation when requesting a refund


6. Non-Refundable Situations

Refunds will not be applicable in the following circumstances:

  • Consultation or treatment has already been provided

  • Patient fails to show up without prior cancellation (no-show)

  • Medicines already dispensed from the pharmacy

  • Services availed under special discounts, packages, or promotional offers unless otherwise stated

  • Patient does not follow pre-procedure instructions leading to procedure cancellation


7. Emergency & Special Circumstances

We understand that medical emergencies and unforeseen situations can arise. In such cases:

  • Patients or their families may approach the Hospital Administration or Billing Department directly

  • Each case will be reviewed with compassion and on its own merits

  • Supporting documentation (doctor's certificate, police report, etc.) may be requested where applicable

  • Aayurdhaa Hospitals reserves the right to make the final decision on exceptional refund requests


8. How to Request a Cancellation or Refund

To cancel an appointment or request a refund, please:

  1. Visit the Registration / Billing Counter at the hospital, OR

  2. Call us at 📞 04172-290943

  3. Email us at 📧 info@aayurdhaahospital.in with your name, appointment details, and payment receipt

  4. Our team will respond within 1–2 working days
